About the Position
The Data Entry & Donor Relations Assistant is responsible for the timely and accurate processing of gifts including inputting gifts into the database and preparation of tax receipts and gift acknowledgments with respect to fund development and donor stewardship. This role reports to the Director, Programs & External Relations.
1-Year Contract (Parental Leave Coverage) – Immediate Start
Contract ending June 2027
General Responsibilities:
- Gift Processing & Administration
- Accurately enter donations, pledges, recurring gifts, sponsorships, and gifts-in-kind into the donor database in a timely manner
- Prepare and issue tax receipts and donor acknowledgements according to established procedures
- Process recurring donations and assist with monthly reconciliation support
- Maintain organized electronic and digital records of donations and receipts
- Database & Data Integrity
- Update and maintain constituent records to ensure donor information is accurate, complete, and current
- Assist with maintaining clean data, including correcting duplicates, updating contact information, and following data entry standards
- Prepare mailing lists and support direct mail and donor outreach initiatives
- Support ongoing database upkeep and organization
- Donor Stewardship & Support
- Assist with donor acknowledgement processes and stewardship activities
- Respond to basic donor inquiries related to donations and tax receipts in a professional and timely manner
- Support donor recognition and stewardship initiatives as needed
- Qualifications
- College diploma or university degree in business, administration, nonprofit management, communications, or related field, or equivalent experience
- Previous administrative, data entry, or customer service experience is an asset but not required
- Previous experience in CRM or Donor databases including Raiser's Edge or Salesforce an asset, but not required
- Advanced Microsoft Office skills
- Interest in nonprofit work, fundraising, or donor relations is an asset
